The full detail behind our promise before you begin. Second Humanity LLC, for Terroir Trails and The Third Field.

Who we are

The Third Field is a practice in relational intelligence. Terroir Trails is its setting in wine country. Both are offered by Second Humanity LLC, a California limited liability company based in Healdsburg, California (“we”, “us”).

This policy covers:

It explains what personal information we collect, why, who else handles it, how long we keep it, and the choices you have.

The short version is our promise before you begin, which every participant sees before writing. This policy is the full detail behind it. Where the two ever seem to differ, the promise you were shown is the one we keep, and we will correct this policy.

What we collect

When you contact us

Please send only what belongs in an inquiry. Do not send another person’s private story through a public form.

When you take part

If you join a Circle, a Couples Map or a Team Map, you write a Reflection in the private portal. We collect:

When someone arranges an engagement

The person who arranges an engagement may give us the names and email addresses of the people they invite, so that we can send each person their own private invitation. That person may be a host, an organizer or an employer.

For a day in wine country, a host may also give us dietary and mobility needs, health notes that matter for the day (for example, a guest who does not drink), and an emergency contact and a day-of telephone number. We store those health notes and emergency contacts in encrypted form. They are used only to make the day safe and comfortable.

The person who arranged or paid for an engagement never sees your answers, and cannot consent on your behalf.

When you pay

Payments are made on pages hosted by our payment processor, Stripe. Stripe collects your card details. We never see or store them. Stripe tells us who paid, what was bought and the amount.

Automatically

For our own business outreach

We sometimes research and contact businesses, such as hotels, that may wish to offer our experiences. For this we keep business contact details (a person’s name, role, firm and business email or telephone), taken from public sources or given to us in the course of business. This is kept apart from anything participants write.

How we use it

We use personal information to:

What we do not do:

AI assistance

If AI assistance is proposed for your engagement, the Director explains the tools, data handling and human route first. Permission is separate from taking part, and a no-AI route is available.

If you do allow it:

AI in our own business research: We also use Anthropic to help research businesses for our own outreach, from public information about the business and the contact person. No participant’s information is ever used for this.

Who else sees it

Choosing an answer for shared consideration does not make the raw Reflection visible to another participant. For couples, each person reviews their own Folio and proposed contribution, then separately decides whether to allow combined review. Both must allow that review before either sees the shared draft, and both approve the exact final version before simultaneous release. A correction that changes the interpretation is reviewed by both again. There is no anonymity promise for a couple. In other small groups, even a theme without names can be recognizable. Other participants can save a document they receive.

For couples, your own Folio may use your answers marked for shared consideration (S) or your Folio only (F). Only S answers may inform the shared Map. F answers cannot shape its wording, interpretation or proposed next steps. Answers reserved for the human Director (D) are excluded from every report and all AI processing; an answer with no selected destination stays D. Choosing S does not by itself authorize combined review or final release.

The Director assigned to your engagement reads what you wrote in a form that identifies you. Confidential is not anonymous: the Director knows who wrote what.

Hosts and organizers:

Team Maps and employment: A Team Map describes how a team works together, never how any one person performs. It is a relational reading, not a performance evaluation. The employer or organization that commissions a Team Map agrees, in its terms of engagement, that it shall not be used in any decision regarding employment, promotion, compensation, or discipline.

Service providers: These companies process information for us, under their own terms, only to provide their service:

The law: We may disclose information if the law requires it, or to protect someone’s safety.

A change of ownership: If the business is transferred, the information would pass to the new owner under this policy.

How long we keep it

WhatHow long
Your raw written Reflection (Couples or Team Map) & Director working notesDeleted 90 days after your Map is released, or a maximum of 180 days after you first submitted, whichever comes first. A week before, we write to tell you. This outer limit ensures unreleased raw inputs are not held indefinitely.
Your raw written Reflection (Circle) & Director working notesDeleted 90 days after the day of your Circle, or a maximum of 180 days after you first submitted, whichever comes first. A week before, we write to tell you.
Delivered documents (your Folio, the Map, the Dossier)Deleted 12 months after delivery, unless you ask us to keep them for your ongoing use. Keeping them never keeps your raw inputs, which are deleted on their own schedule above.
Host notes on health, diet, mobility and emergency contactsDeleted 30 days after the experience day.
Inquiries and brochure requestsDeleted 24 months after our last exchange, unless you go on to take part.
NewsletterUntil you unsubscribe via the link in the footer of any email.
Consent records7 years from the date of consent, to comply with standard audit and legal defense requirements. The internet address in a consent record is removed after 12 months. A Reflection stopped at the age question is the exception: its consent records are deleted at once.
Security records, including IP addresses12 months. Rate-limit records last one hour.
Business contacts24 months after our last contact.
Payment recordsAs long as tax and accounting law requires (generally 7 years).

Your choices and rights

You can ask us to:

Where to ask: Write to Hello@TheThirdField.com or Concierge@TerroirTrails.com. We will confirm that the request comes from you before acting, normally by replying to the email address we hold for you. For a Couples Map, you can request a correction or withdrawal after submission; the Director revisits dependent wording and conclusions, and changes to meaning require fresh review. Other portal choices follow the controls for your engagement, and you may change your retention choice until deletion.

Some limits apply: Withdrawing a permission stops further use of the affected material. We revisit the wording and conclusions that depend on it and rewrite or withdraw the affected document; changed meaning requires renewed approval before shared release. It cannot recall a copy someone else has already saved. We may also keep what the law requires us to keep, such as payment records or consent logs.

California residents have the rights described above under California law, including the right to know, delete, correct, and the right not to be discriminated against for using these rights. We do not sell or share personal information for advertising, so there is nothing to opt out of. We use sensitive information only to provide the service you asked for.

Newsletter: Every newsletter carries a one-click unsubscribe link in the footer.

Age

Our experiences and documents are strictly for adults. Every Reflection begins by asking whether you are eighteen or older. If the answer is no, we stop, and we delete the answers and raw inputs from that session immediately. We keep only a note that the seat was stopped so that we can tell the person who arranged it.

We do not knowingly collect information from anyone under eighteen. If we learn that we have, we delete it immediately.

Security

How we protect what you write:

No system is perfectly secure. If a breach affects you, we will tell you as the law requires.

Where it is processed

Our providers process information in the United States and may do so in other countries. By using the service from outside the United States, you understand that your information will be processed there.

Changes

If we change this policy, we will post the new version here with its date. If the change is significant, we will tell participants whose information we hold before it takes effect.
